🗓️ Static Weekly Schedule — The Template Week

The standing week, before bookings move things around. Solid chip = scheduled shift · dashed chip = backup (works that slot only if the regular person is out) · faded chip = party-dependent — the live calendar shows what each actual day looks like. Nobody works a split day: the morning crew never comes back for the evening slot.

• Sophia is in training through Wed Nov 11 — until then her shifts are supervised (alongside Jen or Carissa, never solo). The grid above is her steady-state week.
• Last-resort weekday backup is Jen — if the afternoon person and their backup are both out, Jen extends past 2:30 PM.
• Weekday afternoon backups (2:30–5 PM): any of Amanda, Gracie, or Sophia can cover — and Amanda is available from 11 AM on weekdays, so she can also cover late mornings.
• If Carissa is out on a Sunday, her 9 AM–6 PM splits between Alyssa, Sophia & Gracie (exact split TBD) — Jen makes the call.

🎂 Party-Slot Staffing Matrix — Weekends

The host owns the full 3-hour window (30 min setup, the party, 30 min cleanup) — no mid-party switches. A public party adds one person on the front; a private party is host-only. After 3 PM the floor quiets down, so one staffer can host a party and watch the front.

• Jen hosts Saturday morning parties fully, and starts every Saturday afternoon party — public or private. She hands the afternoon party to Amanda at 3:30 PM and heads out: she's tip-exempt as manager, so she's the one person who can leave mid-party without a tip dispute, and Amanda (the finishing host) takes the party's tips. Jen's day is 9 AM–3:30 PM, always.
• Carissa hosts Sunday morning + afternoon parties no matter what — and she works open to close, 9 AM–6 PM. There's no separate Sunday closer anymore. Gracie still hosts the evening party (4–7 PM) when one's booked; Carissa covers the floor until 6.
• Early-evening parties are Gracie's on BOTH weekend days — she hosts Saturday and Sunday. The front is Alyssa, on the big-party conditions below. Fallbacks if Gracie can't make it: Saturday → Amanda (she's on site closing); Sunday → Carissa (she hosts it herself, extending to 7). Nobody works a split day: the morning crew is never called back for the evening.
• The 15-kid rule for evening parties: a public early-evening party gets a second staffer (the front person) only if it has more than 15 kids — at 15 or fewer, the host runs it solo (the post-3 PM slowdown makes that comfortable). Party sizes come from the staff note on the Square booking — staff add the count as “Count N” in the staff note (at the one-week confirmation call) and this page reads it automatically. If a party has no count entered yet, its extra staffing stays conditional and Jen confirms from the party form.
• The 25-kid rule for private parties: a private party is a solo job only up to 25 kids. Over 25, add a second staffer — the same person who would front that slot if the party were public: morning → Sophia (in at 10 AM, both days), afternoon → Amanda (floor — never the party front; Sundays she's out at 3 so the tips stay with Carissa, Saturdays she finishes the party and takes them as finishing host), evening → Alyssa. Same source as the 15-kid rule: the “Count N” staff note on the Square booking (party form as backup).
• Host backups: if Jen is out, Sophia steps up to host and Alyssa comes in for the floor. If Carissa is out, her Sunday shift is split between Alyssa, Sophia, and Gracie (exact split TBD). If Sophia is out on a weekend morning, Alyssa fronts. If Amanda is out, Gracie covers the afternoon slot. Alyssa is available all day Saturday and Sunday — she's the call-out backup for any slot on either day.
• Amanda owns Saturday afternoons. Sophia's Saturday ends with the morning party; from there Amanda is the floor/second pair of hands for the afternoon party when it needs one, finishes it after Jen's 3:30 PM handoff (the party's tips are hers as finishing host), and closes at 6 PM. She's never the party front — always floor or backup.
• Nobody arrives at 9 AM without a reason. Even on a morning-party day, the anchor opens alone — the second staffer comes in at 10 AM when the host window starts (public party), and a private morning party needs no second staffer at all.

📋 Weekend Day Plans — Who Works, By What's Booked

Weekend shifts follow the day's parties — the calendar above shows each real day. Nobody works a split day: the evening crew (Gracie + Alyssa) is separate from the morning crew.

• Big private parties (over 25 kids) pull in the slot's second person (Sophia in the morning, Amanda on the afternoon floor, Alyssa in the evening) — see the 25-kid rule under the matrix. Counts come from each booking's “Count N” staff note; Jen confirms from the party form when one is missing.
• Saturday afternoon + evening parties on the same day need no extra staff — Sophia is out at 4 and the evening crew (Gracie, plus Alyssa when the party is big enough) comes in fresh. That's the no-split-days rule: the morning crew never comes back for the evening.
• Weekdays already follow the rule — one person at a time, Jen handing off to the afternoon staffer at 2:30 PM with zero overlap.

🏫 Weekday Schedule — Mon to Fri

One staffer at a time, all day, every weekday. Jen hands off at 2:30 PM with zero overlap. Parties don't normally book on weekdays — the slots are Saturday/Sunday — so special events get handled one at a time, like the Nov 13 school event flagged in the calendar below.

• The 2:30 PM handoff has zero overlap — one person leaves as the next arrives, per the one-staff rule.
• After 3 PM it's quiet — the solo afternoon staffer runs open play alone to close, which the slowdown makes comfortable. All weekday shifts are under 5 hours, so no minor break coverage ever comes up on weekdays.

⏰ Break Rule — High Schoolers

Gracie, Sophia, and Alyssa get a 30-minute break before hitting 5 consecutive hours, with another staffer on site to cover — a minor never works solo past that mark.

• Weekend shifts are short now — Sophia's morning fronts (2.5 hrs), Gracie's and Alyssa's evening windows (3 hrs) all stay under 5 straight hours, so the minor break rule rarely triggers on weekends. If a day ever stacks a high-schooler past 5 straight hours, the anchor (or Amanda, who's an adult and on site Saturday afternoons) covers a 30-minute break before the mark. Amanda is an adult — the rule doesn't apply to her.
• Weekday shifts (Gracie Mon–Tue, Amanda Wed–Thu, Sophia Fri afternoons) are all under 5 hours — no break coverage needed.
• Alyssa's shifts (evening fronts, 4–7 PM) are 3 hours — under the mark. Gracie's evening window (4–7 PM) is 3 hours too.
